Project team and manager

Who can add and remove Leads and Members, and what the project manager label means.

A project's team is the list of Leads and Members who work on it. On Private and Limited projects the team decides who has full access. See Project scope and access.

  • Admins are never on a project's team. They already have access to every project.
  • A Lead can't add themselves to a project they can't see.
  • Being added to or removed from a project notifies the person.

The project manager

The project manager is a label showing who runs the project. It gives no extra powers: what the manager can do comes from their role and the project's scope, like everyone else.

  • The manager must be a Lead or an Admin, never a Member.
  • A Lead manager must be on the project's team.
  • Only Admins can choose, change or remove the project manager.
  • A project can be left without a manager.

The label is cleared automatically when:

  • the manager leaves or is removed from the team, including when an Admin tightens the project's scope and doesn't keep them, unless the Admin picks a replacement at that point, or
  • a Lead who manages the project is changed to Member.

When someone's role changes

ChangeWhat happens
Lead → MemberThey stop being project manager anywhere, and stay on their projects as a Member.
Lead or Member → AdminThey're removed from every project team; as an Admin they can see everything anyway. A manager label they held stays.
Admin → Lead or MemberThey're on no project teams, so they only see Limited and Open projects until someone adds them to a team.
